Controller / Office Manager / Administrator

Daniel Louis Cusimano Architect Incorporated is an award winning small to mid-size architectural office, with a varied portfolio of both public and private work currently underway.

Our office is centrally located (Allen Rd and 401) in a large studio – loft type atmosphere with an abundance of free parking.

Our ongoing work within the Retail, sector has presented a need to attain additional staff immediately to work in the office. We are currently looking for qualified Controller / Office Manager / Administrator


Responsibilities

  • Reconciliation of all G/L accounts, including all affiliated Bank Accounts
  • Preparation and reporting of quarterly accounts, including profitability analysis, highlighting of variances and of all outstanding matters for resolution by management
  • Preparing Proposals and Purchase Orders
  • Correspondence and word processing = drafting and editing contracts, proposals, presentations and forms
  • Accounts recoverable, accounts payable (data entry for A/P and A/R), bookkeeping, payroll and issuing invoices. Carrying out all payroll activities, including T4’s
  • WSIB, HST/PST remittances, Monthly Federal /Provincial Tax remittances.
  • Record and file all government accounts
  • Financial support = ensure invoices are processed in a timely manner, track accruals and prepare expenses.
  • Prepare the books for the year end.
  • Exhibiting proficiency with Time/Billing - Quick Books Online Project Management/Cost, Microsoft Word and Excel
  • Filing
  • Answering phones, ordering supplies, transferring information
  • Screen incoming calls and routing to the appropriate person
  • Interfacing with clients on a confident and upbeat attitude.
  • Displaying professional telephone manners, fluency in English (written/oral)
  • Displaying friendly demeanour and reliability
  • Reception and other general administrative/clerical experience
  • Computer literacy (Quick Books Online, Excel, Word) professional phone manner and excellent communication skills a must.
  • Organize mail and couriers
  • Meeting coordination = schedule meetings, order catering and follow up
  • Data entry = ensure accurate entry of employee information and disbursements.  Including executing the particulars of HR Manual.
  • Ensure the ability to work in conditions of strict confidentiality
  • Exhibiting a passion for customer service
  • Ability to work independently under minimal supervision

Salary Range $65,000.- $85,000.
